Reinventory Privacy Policy

This Privacy Policy (the "Policy") governs the processing of personal data of Users ("User (s)" and "you") of the Reinventory application ("Application" or "Service").

The Service belongs to AgileVision sp.z.o.o, registered under the laws of the Republic of Poland and located at Grodzka St. 42/1, Krakow, Poland, 31-044, registration number 363905719 ("Company", "AgileVision", as well as "we").

The Company is concerned about the privacy of our Users. While processing personal data, the Company complies with personal data protection laws.

We strive to be completely transparent about our personal data processing practices. To this end, we have developed the Policy. We have tried to write the Policy in clear and plain language to make it more accessible to the Users.

The Policy defines:

  • what personal data we process;
  • what are the purposes of such processing;
  • what rights the User has concerning such data;
  • whether the data is transferred to third parties;
  • what measures we take to protect personal data;

as well as other details of personal data processing.

1. What is Personal Data?

Personal data (or data) is any information relating to you, and that alone or in combination with other pieces of information allows the person who collects and processes such information to identify you as an individual. In general, these could be your name, address, location data, or the information related to your physical, physiological, genetic, mental, economic, cultural, or social identity. Personal data could also include such technical information as a Media Access Control address (MAC-addresses), International Mobile Equipment Identity (IMEI), Unique Device Identifier (UDID), the Identity for Advertisers (IDFA), Internet Protocol address (IP-address), browser, and system information.

Personal data processing means any action with it, for example, collection, recording, organizing, structuring, storage, use, disclosure by any means, and so on.

Other terms used in the Policy have the same meaning as in our Terms of Use and the Regulation (EU) 2016/679 known as General Data Protection Regulation or the GDPR.

The Company is the controller of the personal data collected by the Service.

2. What Data Do We Collect?

Account data. When registering in our Application, you will need to provide us with your valid email address. You will also need to create a password.

Data related to your requests. When you send any request or message to the Company via the Application or to the Company's email address, we collect and process the data you voluntarily provide to us (your name, surname, email address, etc.). You can also specify other personal data in the request. We ask you not to provide us with excessive personal data, including the personal data of any third parties.

Details of the assets you provide. To use the Application as efficiently as possible, you need to provide us with the photos of the assets you want to store as the inventory in the Application. These photos will only be saved on your device, and you can delete them whenever you want. If you lose access to your device in any way, these data also will be lost, since we don't make any backups. You also need to provide the names and serial numbers of these assets for easy searching. This data will be stored until you change or delete it. Note that there are two ways you can enter the serial numbers of the item: by photographing it and by typing it manually. In any case, you should express explicit consent to processing the provided data.

Automatic collection (data collected for functional and analytical purposes). In order to understand you better and make your use of the Application more comfortable, we will also collect some data by using the third-parties' services. We may collect the information about the type of device you use, how often you use the Application, and what features you use most times.

3. Lawful Basis and Purposes of Processing Your Data

a. Lawful basis

Our Services cover the use and the maintenance of the Service, the provision of information services, and the support of the Users. The Company and its contractors collect and process the account data and the details of the assets you provide to perform the contract. If you send us the request within the Application, we also process such data to perform the contract.

However, we also collect and process your account data to send you our newsletters on the basis of our legitimate interest – for business development through sending marketing and promotional emails to keep you informed of all changes, innovations, and improvements we make within the Application. If you no longer wish to receive our emails, please click on the "Unsubscribe" link in each. You can also unsubscribe by writing to support@agilevision.io and requesting to unsubscribe.

We process data that you provide to us in connection with your requests sent outside of the Application (if you did not accept the Terms of Use) on the basis of our legitimate interest – to answer your request, ensuring that every user is satisfied with the Application or our related Services. If you send us the request with regard to the tech support inside the Application or if you have accepted the Terms of Use, we process your data to perform the contract with you.

Personal data collected through the automatic collection is processed only on the basis of your consent. You can revoke your consent at any time by choosing the respective settings in the Application or by writing to support@agilevision.io. Thereafter, we will delete your personal data.

In exceptional cases, even when you revoke your consent or ask to remove your personal data on any grounds, we may process your personal data to protect the legitimate interests of the Company, for example, to protect the Company against claims and lawsuits and legal requests of the government agencies, etc.

b. Purposes of processing

We collect and process the personal data described in the section above in order to provide you with all the necessary services within our Service.

In particular, we collect and process different types of data for the following purposes:

Account data – in order to create and technically maintain your account, identify the User and verify the identity of your person, give you the opportunity to use the Services, inform you about the news.

Data related to your requests – to communicate with you at your request, to provide a comprehensive answer to your inquiries, and to make sure that you are satisfied with our Services.

Details of the assets you provide – so that you can conveniently use the Application, in particular, for effortless navigation and identification of these assets.

Personal data collected through the automatic collection – for various purposes, as detailed in Section 4 of the Policy.

4. Automatic Collection of Personal Data

We collect information from and about the devices that you use to interact with our App. Data that we obtain from these devices includes information about user’s session within the App, access tokens (e.g. first access token, token updating the first token) and some data from your device settings. The last covers information you allow us to receive through device settings that you turn on, such as access to your camera or photos.

This information allows us to provide you with information tailored to your needs the next time you use the App. The automatic collection of the indicated types of data by the Company will improve your experience of using the Service and make our Service more efficient, fast and secure for you.

We also process your data with the help of Google Analytics. Google Analytics services are used to collect information about how you use our Application. We use this information to report and improve the performance of the Application. The data collected in such a way is stored in aggregated form, and does not allow to identify a person due to such form. To read more about the privacy practices of Google Analytics.

When you first visit the Application, you will see a special banner – a message asking for consent to the automatic collection. If you object to the collection of the listed data, we will not collect and use it, unless it is strictly necessary for the provision of the Services.

6. Granting Access to Third Parties

We do not sell your personal information to third parties. However, to provide quality services, support various functions of our Service and ensure its operation, we may hire people, work with independent contractors and other service providers, companies, and organizations. For these reasons, some of your personal data may be transferred to these individuals.

In all cases, we comply with the requirements of data protection legislation and make every effort to ensure that data processing is secure at all stages. Our subcontractors and any other third parties will provide the same or equal protection of user data as stated in this Policy and required by Guidelines of the platforms.

To achieve the purposes of data processing, we may provide your data to the following persons:

Our employees and contractors. We may pass on your data to our employees or verified contractors. We enter into non-disclosure and confidentiality agreements with those employees and contractors who have access to your data to ensure their data protection.

Google Analytics (USA). This is a well-known online business intelligence service that helps us understand how our users interact with our Service. As a large multinational corporation, Google engages subcontractors to fulfill its obligations under contracts with customers.

AWS Cognito (USA). Amazon Cognito handles user authentication and authorization for our Application. With user pools, we can easily and securely add sign-up and sign-in functionality to our Application.

We may also disclose your personal data to ensure compliance with the law. In other words, we may disclose information necessary for an investigation or trial at the official request of public authorities. If we are forced to disclose your information, we will notify you immediately and provide a copy of the request unless prohibited by law.

Your Data Processing Rights

You have the right to:

1. Know about the sources of collection, the location of their personal data, the purpose of their processing, the location of the owner or controller of personal data.

The Company respects the rights of personal data subjects and provides all necessary information in an accessible and understandable format. The Policy was created to ensure this right.

2. Receive information on the conditions for granting access to personal data, in particular information on third parties to whom your personal data is transferred.

3. Access to your personal data and the right to receive an answer as to whether your personal data is processed, as well as to receive the content of such personal data.

You can at any time receive confirmation from us whether we are processing your personal data and receive a full copy of this data. In this case, you have the right to receive your personal data in a structured, commonly used and machine-readable format, as well as the right to transfer this data to another owner (controller) at its discretion.

We will provide you with a response to your request for access to data no later than 30 calendar days from the date of its receipt, except as provided by law.

4. Submit a reasoned request to us objecting to the processing of your personal data.

If the review of such a request reveals that the Company cannot demonstrate a valid legal basis for the processing of data that overrides the interests, rights, and freedoms of the User, we will stop processing it and inform you about it. Such requests should be sent to support@agilevision.io.

If the request is not satisfied, we will provide you with a reasoned response to the refusal.

5. Make a reasoned request to change or destroy their personal data if such data are processed illegally or are inaccurate, as well as in other cases provided by law.

In particular, in the event of any inaccuracies in the data processed by the Company, the person whose personal data are processed has the right to contact us with a request to make appropriate changes to their personal data. You may also request that your data be destroyed if you believe that the Company no longer needs it for the purposes for which it was collected.

6. Protect your personal data from unlawful processing and accidental loss, destruction, damage due to intentional concealment, non-provision, or untimely provision, as well as to protect against the provision of information that is inaccurate or discredits the honor, dignity, and business reputation.

7. Complain about the processing of your personal data to the supervisory authorities or to the court and apply legal remedies in case of violation of the legislation on personal data protection.

8. Make reservations about the restriction of the right to process your personal data during the consent.

9. Withdraw consent to the processing of personal data.

You can withdraw your consent to the processing of your personal data at any time. In this case, we must stop processing, i. e., destroy or delete your personal data and notify you. Such request should be sent to support@agilevision.io.

There may be exceptions to this right. For example, if the law requires the Company to retain this data, or when it is necessary for protection in litigation, or when the Company has other grounds for processing, etc.

10. Know the mechanism of automatic processing of personal data and the right to protection against an automated decision that has legal consequences for you.

This provision is intended to protect the data subject from decisions made by the algorithm without human involvement or control. For example, if a computer program decides on the basis of certain collected information who needs help and who does not. The protection against such a decision is the explanation of the subject of the rules and logic of decision-making by the algorithm, as well as the ability to require a review of the decision by a person.

However, the use of the Service does not provide any automated solutions that would have legal consequences for you.

To exercise your rights, you can write a request to the Company via the feedback form at support@agilevision.io. In order to properly protect data, the Company may take additional measures to identify you when processing your request. In any case, the Company will provide you with a response within 30 days from the time of receipt of your request, unless otherwise required by law.

8. Security of Personal Data

We take appropriate security measures to protect your personal data from accidental loss or destruction, from unlawful processing or access to it.

We provide access to personal data to a limited number of people and only when necessary. For example, when required to provide the Services, to comply with the terms of the Policy, to protect the legitimate interests of the Company, Users or third parties, etc.

We store data of the Users on AWS Cognito Service. Data within Amazon Cognito is encrypted at rest in accordance with industry standards. We take all necessary technical measures while transmitting the information to AWS Cognito. We do everything we can to protect your data, but no internet transmission method is 100% secure. If your rights under the Policy are violated, or if there is a high risk that they will be violated, we will notify you and the regulatory authorities without delay. We will also do our best to minimize such risks.

9. Where Do We Store Personal Data?

All data is stored in databases and file repositories provided by the AWS Cognito Service.

Photos of the devices you provide will only be stored on your devices.

10. Changes to This Policy

We may amend or update this Policy from time to time. If we decide to do so, we will notify you of any changes via email and/or a prominent notice within the App when you use the App for the first time after the amendments. We will also indicate the "Last modified" date at the top of this Policy and provide you with the details on key changes.
